Front Desk Receptionist / Administrative Assistant
Position - The Front Desk Receptionist/Administrative Assistant will be the first point of contact for YCPC phone calls and visitors. Additionally, this position provides a broad range of administrative support for the staff.
Responsibilities: Shall include the following tasks:
• Receive all incoming telephone calls and visitors and relay them to the appropriate department or staff member.
• Receive all subdivision and land development plan submittals.
• Log receipt of income, type sales invoices, purchase orders, and other light fiscal duties as needed.
• Sort, distribute and process mail through the postage meter. Assist with correspondence and mailings including printing, collating and binding.
• Ability to attend meetings (some after hours and travel to offsite locations), take minutes and transcribe notes for various program meetings.
• Organize and manage files (paper/digital file maintenance, scanning, records retention)
• Operate essential office equipment such as multi-line phones, networked printers, multi-function copier/printer/fax machines and postage machines
• Maintain equipment so it’s stocked and ready to use (postage, paper supplies, toner, etc.) as well as reading and responding to error codes.
• Keep printing/copy area organized and stocked with supplies.
• Manage routine requests for information from the public.
• Maintain and update information in databases.
• Keep the reception area neat and orderly.
